Privacy Notice and Data Protection for Volunteers at Caesar Families Association

Caesar Families Association is committed to protecting the privacy and security of your personal information collected as the primary controller responsible for processing personal data related to volunteers in the association. This privacy notice describes how we collect, use, and protect the personal information of volunteers during and after their relationship with us, in accordance with the General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (“BDSG”).

This Privacy Notice for Volunteers applies to you if you are currently or were previously a volunteer at Caesar Families Association. Please read this notice carefully to understand your rights regarding your personal data and how it is collected, used, protected, and processed.

Caesar Families Association collects and processes the following categories of your personal data, obtained through the volunteer application form or information provided by volunteers such as skills and previous work experience.

  • Personal Information: Including name, surname, address, spoken languages, and optionally a resume if submitted by the volunteer.
  • Contact Information: Including the volunteer’s email address.
  • Financial Information: In some cases, financial details such as national insurance number, bank account details, and any remuneration received during voluntary work.

3-Purpose of Data Collection:

The collected personal information is used to update the association’s member and volunteer records. Contact information is used to send emails about volunteering opportunities and upcoming events.

4-Data Security:

We implement robust security measures to protect personal information from unauthorized access or unlawful use. Data is encrypted, and access is restricted to authorized personnel only. If the volunteer receives financial compensation, financial information may be shared with project partners (donors).

5-Data Storage Location:

The primary electronic storage location is Google Drive, accessible only to authorized personnel within the association who require access for their roles.

6-Data Transfer Outside the EU:

We may transfer your personal data to recipients in third countries outside the European Union or the European Economic Area that do not currently provide an adequate level of protection, such as the United States. This specifically relates to the use of Google Drive as a data storage service, and we rely on appropriate safeguards to protect data.

7-Data Retention Period:

Personal and financial data of volunteers is retained in the association’s records for the duration of their volunteering period and up to 7 years after, in compliance with legal and contractual obligations. Volunteer information is treated confidentially and disclosed only to individuals who need it for their roles.

8-Volunteer Rights:

  • Volunteers have the right to use a pseudonym if they choose to.
  • Volunteers have the right to obtain a copy of their processed personal data and understand how it is used.
  • Volunteers have the right to correct or update inaccurate or incomplete personal data.
  • Volunteers have the right to request the deletion of personal data after the end of their volunteering period.
  • Volunteers have the right to lodge a complaint with the relevant supervisory authorities in case of data rights violations.
